How to set up tags for contacts and reviews

Think of tags like stickers that you apply to make it easy to identify important characteristics about certain contacts or reviews.

This is very helpful when you want to do things like:

  • Filter contacts or reviews to find specific data you can use to improve your business.
  • Easily identify staff or team members that contacts mention by name in their reviews.
  • Compare and contrast groups of contacts or review profiles in a report.
  • Use a specific contact tag in a review campaign template to make the message more personal to each contact.

Tags will appear in the reviews table on the "Reviews" page, and in the contacts table on the "Contacts" page.

 

Where to go to create & edit tags

Go to Settings > Account Settings > Tags. To create your first tag click the "New Tag" button in the upper right. A modal will appear that looks like this:

 

 

Enter a tag name. This is typically something you want to identify about your contacts or their reviews.

For example if you have a coffee shop, you might create one tag called "Coffee" and another tag called "Tea" so you can identify your contacts who drink coffee and mention coffee in their reviews vs. your tea-drinkers.

You can also change the tag color and the text color. It can be helpful to use different colors for different tags so they're easy to visually identify (especially when viewing them in the reviews table on the "Reviews" page).

Next, in the "Tag Types" section you'll set the type of tag it is: a contact tag, a review tag, or both. Naturally, contact tags may only be applied to contacts and review tags may only be applied to reviews, but if you check both boxes then you can apply the same tag to both contacts and reviews.

If you select "Reviews" as the tag type then "Auto-Tagging" options will appear:

 

 

With auto-tagging turned ON, any time any of the keywords associated with the tag appears in a review then the tag will automatically be applied to that review.

You can click "Run auto-tagging retroactively" to apply it to previous reviews or leave it unchecked to only auto-apply the tag to future reviews. Make sure that you enter at least one keyword into the "Keywords" box (and click "enter" after every keyword) so that the system knows which reviews to apply the tag to.

When you've got your tag configured how you like it, click the "Save" button and the tag will appear in the table:

 

 

Now your tag is available to be applied to contacts and/or reviews!

 

A few important points:

  • To edit a tag, click the pencil icon on the right side of the table. 
  • To delete a tag, click the pencil icon on the right side of the table, then in the tag editor modal click the dropdown arrow next to the "Save" button and click the "Delete Tag" option. Note that when you delete a tag here then the tag will be deleted everywhere that it appears in the system.
  • You can create/import tags in bulk by clicking the dropdown arrow next to the "New Tag" button at the top right of the page.
  • Each tag has a "UUID" - a unique identifier that you can use to automatically apply tags to contacts when you upload contacts in bulk. You can find the UUID for each tag in the tags table.
